Events on Danforth Campus during the academic year must be planned or sponsored by a WashU department or university-recognized student group.
All departments and student groups (regardless of type) will be required to cover expenses for setup, tear down, post-cleaning, additional AV equipment and catering. We only bill to an internal cost center number.
For university departments
University departments may request event space by submitting a Reserve a Space request. Departments are required to comply with all university policies, procedures, and event guidelines and are responsible for applicable rental rates, housekeeping expenses, and audiovisual charges. Throughout the planning process, departments should work with their assigned Event Coordinator for support and event planning assistance.
For student groups
All student group event hosts must be officially recognized by Campus Life or Student Union.
Student group executives can log in to their group’s WUGO account to determine if their group is active and what category level the group has attained.
Hosting requirements
Student groups must register all events, programs and meetings (including GBMs) in WUGO. Events that are not registered risk cancellation.
Event must adhere to all university policies. It is the group’s responsibility to review all policies and guidelines and ask questions.
There are several important deadlines you must meet in order to hold an event on campus. Missed deadlines and/or non-compliance with any policy or guideline will result in a cancellation of your event.
Available spaces
Any space that is managed by Event Management is available for request by a student group. In order to request a space on behalf of your student group, you must be listed in WUGO as an executive of your student group.
Rental cost
Costs vary based on several factors. An estimate of your expenses can be obtained by meeting with your assigned event coordinator.
Student groups that are Student Union recognized (Category I, II, or III) and Campus Life recognized will not be charged for the room rental. Currently, the room rental fees are covered under SU for those groups.
Student groups who do not meet the above criteria will be charged the WashU internal rates found in the listing for each space.
