Purpose
This information sets expectations and requirements for university departments/groups who intend on utilizing golf carts/utility vehicles in conjunction with an event on the WashU Danforth Campus. This can include but is not limited to transporting equipment, supplies, or personnel related to official operations. The Events with Golf Carts Guidelines is intended to be supplemental to the WashU Campus Golf Cart/Utility Vehicle Policy, and all processes and procedures still apply.
General Procedures
In accordance with the University Golf Cart Policy
All individuals wanting to drive on campus are required to sign up for and complete the EH&S Golf Cart Safety Training.

After successful completion of the training, provide your supervisor or sponsoring department with your certificate of completion.
At no time should a golf cart block or be parked on the following:
- Fire lane(s)
- Paths/Walkways
- Building entrances
- Stairways or ADA ramps
- Under archways of buildings
- Patios of any building
- Fields, courtyards, or landscaping of any kind
All golf carts must be parked in a legal parking spot when not in use and overnight. Please see the appropriate section for instructions on rented versus department-owned golf carts.
Delivery and Pick-up
Rented Golf Carts
Yellow permit spaces on the South Side of Lot 40 are eligible to be reserved by departments for golf cart delivery and pick-up.
Golf cart rental companies delivering or picking up their rentals should enter from Forsyth and Tolman Way and proceed north to the South Side of Lot 40 (surface parking south of the Goldfarb Plant Science building).
Vendors: DO NOT cut through the Electrical Vehicle charging area in Lot 41.

Identification
Rented Golf Carts
All golf carts should be labeled with an identification placard with the following information clearly displayed:
- Front:
- Event Name
- Department/Group
- Event Date(s)
- Cart number (e.g., Cart 1 of 3)
- Back:
- On-Site Emergency Contact
- Name
- Phone Number
- On-Site Emergency Contact

Department/Group Owned Golf Carts
All golf carts owned by WashU Departments/groups are required to purchase and display a Department Vehicle Permit. This permit includes the department name and serves in place of an identification placard. This permit must be clearly visible.
If borrowing another department’s golf cart, an identification placard with current event information is required.
Parking/Overnight Storage
Rented Golf Carts
Departments/groups should use visitor parking spaces when applicable for the duration of the event. The responsible department/group is liable for all associated parking costs.
Visitor parking can be found in the following locations:
- Snow Way Parking Garage (Lot #29)
- Millbrook Parking Garage (Lot #25)
- Danforth University Center Parking Garage (Wallace Drive and Forsyth Boulevard)
- East End Garage (entry points at Wrighton Way and Forsyth Boulevard or Hoyt Drive and Forest Park Parkway)
- Wallace Drive Parking Garage (Lot #59)
If a longer-term solution (i.e. multi-day event) is needed, contact Parking and Transportation to reserve designated parking spaces.
- If the reserved space is in a garage, this will require a validation ticket to pay for parking upon exit. Your department will need to fill out the Validation Request Form.
Department/Group Owned Golf Carts
Department-owned golf carts must purchase and display a Department Vehicle Permit.
This permit provides access into all gated parking areas, specifically yellow parking spaces or the appropriate departmental reserved spaces.
Vehicle Incidents
In accordance with the University Golf Cart Policy
If you are involved in a vehicle incident you should:
- Stop immediately.
- Do not leave the scene.
- Protect the scene.
- Report the incident to WUPD.
- On the Danforth Campus immediately report an incident involving injury or property damage to the Washington University Police Department, 314-935-5555, Insurance Department, 314-935-5561, and your supervisor. An injured person will complete a Washington University Injury and Illness Form. Immediately call local authorities to report an accident that occurs off campus.
