Caleres Lounge and Garden Terrace

The Caleres Lounge is located on the upper-level of Hillman Hall and boasts a window-line view of eastern Danforth Campus. The Lounge opens onto the Garden Terrace which may be used as an open-air extension of the lounge in pleasant weather.

No built-in audiovisual (AV) capabilities are available in the space.

Any required equipment must be requested at least twenty one (21) days in advance through Media Services – HMC.

HES Housekeeping Services

  • All setup/teardown & post-clean must be performed by HES in this space.
  • A professional post-clean by HES is required for all events as this is typical practice for all Premier Level Spaces.

Catering

  • Seated meals are unsuitable for this space
    • Ideal for food displays or passed appetizers
  • Catered events must follow these requirements:
    • For hot passed appetizers, caterers must have dedicated prep space reserved on the same floor
    • Prep activities may not occur in corridors or block elevators
  • Vendor access:
    • Limited to the elevator at Wrighton Way
  • Rentals:
    • Strongly preferred to be delivered and picked up on the same day
    • If next-day pickup is required:
      • A designated representative from the event group must be present to meet and direct the rental company
      • Client will be financially responsible for additional days added to reservation

Event Use Guidelines

Nature of the Space

Caleres Lounge is considered a public, non-private area within the building. This space:

  • Functions as open, high-traffic corridor connecting multiple classrooms and office suites.
  • Must remain accessible at all times to support pedestrian flow and building egress requirements.

As such, events in these locations must be planned with the understanding that the environment is shared, active, and cannot be restricted from general use.

Access and Use Limitations
  • The space may not be blocked off for exclusive use.
  • Signage indicating “event in progress” is permitted; however:
    • Barriers, stanchions, or obstructions are not allowed.
    • Event hosts may not ask passersby to lower noise levels or alter behavior.
  • All walkways and access routes must remain fully open and unobstructed at all times to ensure safe egress.
Event Type Restrictions

The following activities are not permitted in this space:

  • Seated meals or formal dining events
  • Events requiring exclusive or controlled access
  • Amplified sound before 5:00 PM
  • Use of glassware on the terrace

Additionally:

  • The terrace cannot be reserved independently and must be booked in conjunction with Caleres Lounge.
Environmental Considerations

The design of this area incorporates indoor and outdoor elements. The cooling ventilation in this area was created to support the energy efficient windows, but do not negate excessive heat from outside. The ventilation was created with a walking commute in mind. As a result, the space may maintain a warmer temperature in the May – October months.

Lighting and Timing
  • Outdoor lighting on the terrace is limited
  • Events scheduled past sunset are subject to additional review and approval
